JOB TITLE: Admissions Manager

JOB DESCRIPTION

Summary/Objective

The Ancona School seeks an experienced Admissions Manager to help manage and evolve Ancona School’s process for attracting, enrolling, and retaining families well-suited to our programs. The ideal candidate is polished, charismatic, and passionate about our philosophies of education. The manager will coordinate and manage the entire admissions process, including improving its systems, reviewing applications, interviewing parents, reviewing teacher assessments, communicating with superordinates, faculty, and parents, recommending decisions, and helping families acclimate to the school.  The Admissions Manager also builds strong relationships in the independent school network, including with other admissions leaders in related professional associations. The ideal candidate may possess experience with admissions at an independent school, or may be a career changer with classroom and systems-level experience.

Sustainability and Documentation

  • Create processes, content and materials that are replicable and improvable year to year
  • Develop and monitor assessment systems to evaluate effectiveness of admission strategies

Project Management

  • With External Affairs Director and Head of School, create a tactical plan for increasing enrollment
  • Ensure seamless, efficient admissions process for applicant families
  • Calendar and backward-map the admissions process
  • Create and manage decision points for promoting families through the admissions process
  • Interview and assess applicant families for proper fit within the Ancona School community
  • Collaborate with faculty (such as the Admissions Committee) on application processes, including individual applicants and admissions systems and processes
  • Own and update current and historical data on the Enrollment Tracker and other systems

External Affairs

  • Coordinate with the External Affairs parts of the school (e.g., Marketing & Communications and Advancement) to align messaging
  • Plan and run internal and external events that increase applications to the school (e.g., Open Houses, “Second Look,” and promotional events that occur outside of the school)
  • Monitor and update content on the school’s website

Tuition Assistance

  • Serve the Tuition Assistance Committee by advising on equitable and balanced allocation of Tuition Assistance to families

Registrar

  • Partner with Technology department, Business Office, and front desk staff to convert applicant families to enrolled families
  • Monitor new family experiences and ensure their smooth transition into Ancona

Communication

  • Develop strong relationships with applicant families
  • Follow through and reply promptly, completely, and positively to inquiries about the school, application process, tuition assistance, and related events
  • Manage a wide variety of relationships in a diverse, social justice-oriented environment with diverse cultures
  • Work with multiple colleagues and stakeholders to make the Admissions experience consistent with approaches from the Education Program, Advancement, Marketing & Communications, Technology, Business Office and front desk departments, including the Head of School
  • Educate and learn from senior administration, faculty and Board about the department, including enrollment updates, strategic effectiveness and rationale

Finance

  • Monitor departmental budget and make adjustments when needed
  • Own and maintain the accuracy of the SSS Tuition assistance portal
  • With the Business Office on a monthly basis, reconcile Tuition Assistance census and dollars accepted by student as reflected on the SSS Tuition Assistance portal, the Smart Tuition Billing Spreadsheet and Enrollment Tracker
  • Maintain a pipeline of communication with the Business Office regarding new student admissions/withdrawals that occur post admissions season

Physical Demands

  • Walking. Moving about on foot to accomplish tasks, particularly for long distances or moving from one worksite to another.
  • Talking. Expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers or families accurately, loudly, or quickly.
  • Hearing. Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make the discriminations in sound.

Work Environment

  • None. The worker is not substantially exposed to adverse environmental conditions (such as in typical office or administrative work.)

Position Type/Expected Hours of Work

Exempt 8:30am – 4:30pm

Travel

0 – 10% local and out of state for professional development

Required Education and Experience

BA, BS or associate degree, Minimum of four years of progressive experience

Preferred Education and Experience

Experience working in an independent school environment

Familiarity with Mac platform, Google suite of products
